Missing supplier costs can make your best-selling Shopify product look far more profitable than it is. Before comparing products, build a consistent, date-matched cost list by SKU. The free template below works with ordinary spreadsheet software and can also serve as a supplier-cost input for an offline screening tool.
What a Shopify SKU cost file should contain
Start with a clean three-column CSV. The example numbers below are fictional—replace them with your own reconciled supplier and per-unit delivery costs.
sku,unit_cost,shipping_cost_per_unit STK-101,12.50,2.00 STK-202,8.75,1.25 STK-303,18.00,3.40
Save it as a CSV UTF-8 file. A SKU is the stable product identifier shared by your store's order exports and supplier records. Treat different sizes, colors, or bundles as different SKUs when their costs differ.
Four checks before interpreting a margin report
- Missing or blank SKUs: A sold line item with no SKU cannot be matched reliably to its supplier cost. Fix that identity before estimating profit.
- Unknown unit costs: Do not substitute $0 for a missing supplier price. Zero cost makes margins look better than they are. Mark the result incomplete until the cost is verified.
- Supplier shipping versus customer shipping: The cost of getting a unit from the supplier is not necessarily the postage charged for delivering an order to the customer. Record them separately where applicable, and avoid double counting.
- Historical cost changes: If a supplier price changed in September, using an October price to analyze August orders can distort profitability. For financial statements, reconcile costs using an appropriate historical costing method. A current-cost snapshot is only a screening estimate.
How to match your file to exported Shopify orders
From Shopify Admin, export the Orders CSV for a defined period, following Shopify's order export instructions. Keep raw order exports private because they may contain customer identifiers.
Compare the Shopify Lineitem sku field against each row in your supplier-cost file. Check for case mismatches, spaces, bundle SKUs, variants and discontinued products. For each eligible order, pair quantities and merchandise revenue with available unit costs, but account for discounts, taxes, refunded amounts and additional costs separately.
Example (fictional): Ten STK-101 units sold at $25 each with a verified $12.50 unit cost and $2.00 per-unit supplier shipping. Merchandise before other expenses totals $250; supplier cost plus inbound shipping totals $145; the initial $105 difference is not settled net profit. You must still account for merchant discounts, actual payment fees, outbound shipping, customer refunds, advertising, returns, overhead and other expenses.
What a cost CSV cannot tell you
A supplier-cost file alone does not reconcile processor payouts to the bank. Nor does it prove exactly when refunds settled, which advertising clicks generated orders, or what an actual postage label cost. Free calculators can be valuable for first-pass analysis, but any estimate that lacks these records needs independent verification.
Use this free CSV template with the now-available offline margin checker
The ATLAS Offline Profit Audit ($29 USD) is now available as a one-time downloadable utility for supported USD Shopify Orders exports. Use a privately maintained cost CSV with the exact sku,unit_cost,shipping_cost_per_unit headers shown above to screen missing costs and estimated SKU-level contribution locally in your desktop browser. No Shopify API connection is required.
The utility does not establish settled net profit, tax results or a complete reconciliation of refunds, processing fees, shipping, advertising or overhead. Verify all material figures against original records, and check the product's input compatibility and limitations before purchasing. The sample SKU values on this page are fictional; do not submit unredacted customer files through a public contact form.
